Talkadot: Demo and Onboarding, Fully Automated

Running a demo and onboarding program meant coordinating across four separate tools for every session: creating the Zoom event, syncing registrants, tracking attendance, and following up with the recording afterward. Each of those steps required someone to manually move information from one system to the next.

That manual coordination had to happen for every single session run, meaning the workload scaled directly with how many demos and onboarding sessions the business wanted to hold.

The Web Hunters built a 4-scenario Make.com system running the entire demo and onboarding program with zero manual work. A Circle community event triggers Zoom event creation and shares it on Google Calendar. New Zoom registrants sync to ActiveCampaign with their registration answers automatically.

Two hours before each session, attendee RSVPs from Circle and Zoom are merged and posted to Slack. After the session, the recording posts to YouTube, shares in Slack, attaches back to the Circle event, and updates attendance in ActiveCampaign, closing the loop without anyone touching a single step.
